Ticket Delivery

Experia will deliver tickets once issued, to your offices in accordance with your requirements either electronically or physically.

Experience has taught us that last minute ticket issuance is part and parcel of our business, and we have put in place measures to handle short notice travel.

At Experia our emergency duty staff will issue ticket/s and send on electronically or deliver to a convenient agreed upon place.

Travel Package

For every ticket issued, we present it in a branded ticket jacket as a package and insert the following:

  • E -ticket
  • Hotel Vouchers where applicable
  • Airport Transfer vouchers both for Pickup to and from JKIA where applicable.

As a corporate boutique travel company, all Experia staff are trained in travel management. The reservations staff is qualified in the use of the appropriate Global Distribution System, GDS (Galileo) systems and faring techniques to ensure ultimate traveler satisfaction and lowest fare options provided, within the parameters of the client travel policy and budget.

We will provide this service to applicants whose ticket is booked through us, and the request is made within acceptable time limits as stipulated by the Embassies and Consulates.

An updated Visa requirements and visa charges schedule will be circulated to your travel focal points for ease of reference.

Airport Transfer

We provide transport to and from the airport. This service is available to all travellers ticketed through us to and from Jomo Kenyatta International Airport.

All vehicles used for transfers are modern, fitted with VHF radio call; the drivers are competent, equipped with cell phones and wear branded uniform for easy identification.

Meet and Assist Services

We are provide the convenient and time saving service of Meet and Assist at JKIA on request. Our representatives at the JKIA will: -

  • Welcome the travelers upon disembarking from the aircraft and guide them through Immigration and assist in cases where visas are required on arrival.
  • Assist with baggage claim and customs procedures.
  • Escort travelers to the appropriate ground transportation.
  • For passengers transiting in Nairobi our meet and assist representatives will deliver tickets for continuing flights to the traveler at the transit lounge.

24-Hour Emergency Service

Our front office consultants are accessible 24/7 through cell phones. In case of an Emergency outside the normal working hours you can contact ……..for (Travel) or …………for (Tours) assistance.

Meeting and Conference Handling

Experia offers a comprehensive range of facilities catering for all types of meetings and conferences, up to and including international conventions. With our dedicated and experienced coordinators of executive-levels meetings ranging from ten to a thousand participants, Experia is an ideal Meeting and Conference management company.

Designation of a specific group co-coordinator

The coordinator is the focal point of ensuring effective and successful management of the meeting and Conference Handling.

Site selection

Strategic and suitable sites will be selected on the basis of the meeting and conference magnitude in close liaison with you office. Experia will recommend venues based on our past experiences and quality of sites.

Transportation

Experia will provide for airport transfers and in most cases shuttle services to key meeting and conference locations. We have a wide rage of vehicles, including four wheel drives, VIP cars, minibuses, and luxury coaches

As a standard procedure we maintain a comprehensive customer data base for all our Corporate clients on Galileo Reservation Systems. Each individual traveler will be requested to fill out a travel profile, which provides information on the individual traveler e.g. preferred Airline, seat assignment, preferred booking class, special meals, airline frequent flyer numbers, hotel membership numbers, company travel policy etc. With this information we give you personalized service at all times.

We will provide the above reports on E-mail. We have the ability to remit, invoices and statements directly on E mail for increased efficiency.

MIS reports form the basis of our negotiation with the Airlines for corporate incentive deal. However this is all based on travel volumes for respective Airlines.

Financial Information & Credit Terms

In accordance with IATA rules and regulations under which we are licensed, all tickets issued in a given month have to be paid for by the 15th of the following month.

All services rendered from the beginning of every month to the end of the month will be paid for by the 10th of the following month. This way we are able to submit payments to the airlines our principal suppliers on time. It is important that this is observed regardless of whether the ticket, MCO or PTA has been utilized.

Below are our terms for payment:

Invoices will be raised immediately after tickets are issued.

All invoices will be settled by the 10th of every month for all tickets issued in the previous month.

All tickets issued shall be paid for, regardless of whether travel actually took place or not*

Experia will put in unutilised tickets for Refund from the respective airline and issue a credit

note for all unutilised tickets immediately credits notes from respective the airlines.*

Experia shall not charge any cancellation fees but the client will pay all cancellation charges levied by the airlines.*

Experia will ensure all invoices and statement for the previous month is received by the 1st working day of every month.

Experia currency of payment is Kenya Shilling or USD.

Cancellation and Refund Procedure.

We are Billed by Airlines immediately a ticket is issued and must pay for all tickets issued by the 15th of every month for tickets sold in the pervious month. It for this reason that we advise our clients to pay for all tickets whether utilized or not. We are allowed by the Airlines to void tickets on the same day of issuance without the client attracting cancellation fees. In cases where the ticket is not voided within the date of issuance a cancellation fee is levied which varies from Airline to Airline. All unutilized tickets must be surrendered to the Airline to process refunds which are passed on to the client in form of a credit note. The Refund process takes approximately 14 days
